How to follow up with open house leads

Most open house leads never hear from the agent again. Here is a simple same-day follow-up system for real estate agents: who to call first, when to reach out, and exactly what to say, with copy-paste scripts.

Here is the uncomfortable part about open houses. The sign-in sheet is not the hard part. The follow-up is. Most agents collect a page of names on Saturday, get busy, and never make a single call. By the time they look at that sheet again on Wednesday, the warmest buyer in the room has already been to five more houses with somebody else.

Follow-up is where open house leads actually turn into deals, and it mostly comes down to doing it fast and doing it in the right order. Here is a system you can run every weekend without burning your whole evening.

Call the same day, not the same week

Speed is the whole game. A buyer who walked your open house at 2pm still has the place in their head at 7pm. They remember the kitchen, the street, the price. Reach them that night and you are picking up a conversation they are already having with themselves. Wait three days and you are a stranger asking about a house they have half forgotten.

  • Send a first message the evening of the open house, every time.
  • If you only have the energy for a few calls, make them the buyers who are ready to move, not the whole list.
  • Do not wait to have the perfect thing to say. A short, human note beats a polished one that goes out on Thursday.

Figure out who to call first

Not every visitor is worth the same effort, and working the whole list equally is how the good ones slip away. Sort them before you start.

Open House Console does this part for you. When someone signs in, they can answer a few quick questions: whether they are working with an agent, whether they have a home to sell, how they are financing, and how soon they are buying. Anyone who is pre-approved, paying cash, looking in the next three months, or carrying a home to sell gets marked as a hot lead on their card, with a small flame. That is your call list. Everyone else can get a text and an email.

  1. 1Hot leads get a phone call the same night. These are your pre-approved, cash, and moving-soon buyers, plus anyone with a home to sell.
  2. 2Everyone else gets a friendly text and a follow-up email the same evening.
  3. 3Neighbors and the just-browsing crowd go into a slower nurture. They are not this weekend's buyer, but some of them are next year's seller.

💡 Tip: The evening of every open house, we email you the full list of who signed in, with the hot leads already flagged. You do not have to sort anything. Open the email, start at the top, and work down.

What to actually say

Keep the first message short, and make it about them, not about you. You are not pitching. You are opening a door. Here are three you can copy and adjust.

📋 Text, same night

Hi [name], it was great meeting you at the open house on [street] today. Did that one land for you, or was it not quite the fit? Happy to send over a couple of similar homes if it helps. [Your name]

📋 Email, same night

Subject: Great meeting you at [address] Hi [name], Thanks for stopping by the open house today. I hope you got a good feel for the place. If you liked it, I would love to help you take the next step. If it was not the one, tell me what was missing and I will send a few others that fit better. Either way, reach out any time. This email comes straight to me. [Your name] [phone]

📋 Call opener, for hot leads

Hi [name], it is [your name], we met at the open house on [street] this afternoon. I did not want to let the weekend go by without checking in. What did you think of it?

Notice what none of these do. They do not ask the person to commit to anything, and they do not read like a mass blast. The whole point of the first touch is a reply, not a signature.

One click, one thank you

For the visitors who are not ready for a call, a simple thank you does a lot of quiet work. It lands in their inbox with your name on it, it reminds them who you are, and it gives them an easy way to write back.

Open House Console has this built in. From the open house, you send a thank-you email to your guests with one click. It goes out from you, with your real email as the reply-to, so when someone answers, it comes straight to your phone. You can see who opened it and whether it actually landed, which is a quiet way to tell a good address from a fake one.

Keep the ones who do not reply

Most people will not answer the first message. That is normal, and it is not a dead end. The mistake is letting them fall off the list.

  • Move each lead along as you go, from new, to contacted, to nurturing, to appointment set. When you can see where everyone stands, nobody gets skipped.
  • Set the next step and a date on it. Future you will not remember to circle back. A reminder will.
  • If you already run a CRM, you do not have to double enter anything. Every new sign-in can be sent straight into your system automatically, so the follow-up happens where you already work.

Make it a habit, not a heroic effort

None of this works because it is clever. It works because it is consistent. The agent who sends a short, human note to every visitor the same night, every weekend, will out-earn the one who waits for the perfect pitch and sends it late. Set your follow-up up so it is fast, start with the hot leads, and do it every single time.

You already did the hard part by filling the house. Spend the twenty minutes on Saturday night that turns those names into your next few closings.
