How to get open house leads into your CRM without typing them in

Typing sign-in sheets into a CRM on Sunday night is where open house leads go to die. How to send each visitor over automatically, the moment they sign in.

Leads12HOTTODAY

Here is how it usually goes. The open house ends at four. You pack up, drive home, eat something, and tell yourself you will put the leads in the CRM tonight. Tonight becomes Monday. Monday you have a closing and two showings. By Wednesday the sheet is under your coffee cup and the couple who were pre-approved and ready to move has already toured with someone else.

The fix is not more discipline. It is taking yourself out of the middle. If your CRM is where you run your business, every sign-in should land there on its own, while the visitor is still standing in the kitchen.

Why manual entry loses leads

It is not only the delay. Manual entry leaks in small, boring ways that add up.

  • You skip the ones that look cold. The neighbor, the guy who said he was just looking. Some of those turn into listings a year later, and now they are nowhere.
  • Typos in email addresses. One wrong letter and your drip campaign bounces for the next six months without telling you.
  • The answers never make it over. You type the name and phone number and leave out the part where they said they have a house to sell. That is the most valuable thing they told you.
  • Batches arrive stale. Your CRM thinks the lead came in Tuesday, so every automation you built around speed runs three days late.

How the webhook works in Open House Console

In your Profile there is a section called CRM / Zapier integration with one field, a webhook URL. Paste a URL in there and every new sign-in gets sent to it as a small bundle of data the moment the visitor taps submit. It works with a Webhooks by Zapier Catch Hook, with Make, or with your CRM's own inbound webhook if it has one. Under the field there is a Send a test lead button, and once anything has gone out, a line that says whether the last delivery worked.

Each lead that goes over includes the name, email, and phone, plus whatever they answered: whether they are working with an agent, their financing (Pre-approved, Paying cash, or Not yet pre-approved), their buying timeframe, whether they have a home to sell and its address, and the answers to any custom questions you added. It also carries the open house address and the time they signed in. So your CRM knows which listing they came from without you tagging it.

It fires for both kinds of sign-in, the laptop at the door and the QR code on the visitor's own phone. And if the Wi-Fi drops mid-event, the sign-in still saves on the device and goes through when the connection comes back. The webhook fires then, once the lead is actually saved.

Setting it up with Zapier, start to finish

Most CRMs agents use have a Zapier app, so this is the route that works for almost everyone. Budget fifteen minutes the first time.

  1. 1In Zapier, create a new Zap. For the trigger, pick Webhooks by Zapier and choose Catch Hook. Zapier gives you a URL that starts with hooks.zapier.com.
  2. 2Paste that URL into the webhook field on your Open House Console Profile page and save.
  3. 3Press Send a test lead under the webhook field. It sends a sample visitor called Test Visitor with the name, email, phone, and every standard answer filled in, so Zapier sees all of those fields.
  4. 4If you wrote any custom questions of your own, the sample does not know about them. Open your sign-in page and sign in once as a visitor, answering those too, then delete that test lead from its page in your dashboard.
  5. 5Back in Zapier, click Test trigger. You should see Test Visitor with name, email, phone, and the answers.
  6. 6Add the action step for your CRM, usually Create Contact or Create Lead. Map name, email, and phone to the matching fields. Put the open house address in a source or tag field.
  7. 7Turn the Zap on, then delete the test contacts from the CRM so they do not end up in a drip.

💡 Tip: Map the answers too, not just the contact info. A note field that reads "Financing: Pre-approved. Timeframe: 0-3 months. Home to sell: yes" is what tells you who to call first when you open the CRM on Monday.

Route hot leads differently

Inside the app, a lead is flagged hot on its own when they say they are pre-approved or paying cash, plan to buy within 0 to 3 months, or have a home to sell. The evening summary email gives you the sign-in count, lists who came, and marks those. You can build the same logic into your Zap so hot leads get a different path in the CRM.

📋 Zapier filter for hot leads (Paths or Filter step)

Path A (hot), continue if ANY of these are true: financing_status exactly matches Pre-approved financing_status exactly matches Paying cash buying_timeframe exactly matches 0-3 months home_to_sell is true Path A action: create the contact with a Hot tag and assign a same-day call task. Path B (everyone else): create the contact and add them to your long nurture campaign.

Keep the hot path simple. What you want is to walk out of the open house with the two people worth calling tonight already sitting in your task list.

What to check so nothing slips through

The webhook sends each lead as soon as the sign-in is saved. If your endpoint does not answer, or answers with a server error or a too-many-requests response, the app waits a few seconds and tries one more time. After that it stops. That is on purpose, so a broken CRM connection can never slow down or break the sign-in at the door. A wrong URL is not retried at all, because sending it again will not fix it. The lead is always saved in your dashboard either way. You just want a quick habit to catch the rare miss.

  • After each open house, compare the sign-in count in the subject line of the evening summary email with the number of new contacts in your CRM. Takes ten seconds.
  • If they do not match, open your Profile. A red Last delivery failed line under the webhook URL, with the reason, means the problem is on the receiving end.
  • Then check Zap history in Zapier. A paused Zap or an expired CRM login is the usual cause. Once it is fixed, press Send a test lead and make sure the line turns back to Last delivery worked.
  • To backfill, export from the Leads page as a CSV. You can filter to one open house, and the file has every answer, the status, and the sign-in time, ready for your CRM's import tool.
  • The webhook only sends while your account is active: a monthly or yearly plan, or a Weekend Pass while the pass is open. Leads still save after a plan lapses or a pass ends, but nothing goes out to your CRM until you are back on one.

One last thing. Automating the entry does not automate the follow-up. You still have to call. What it does is make sure the call happens off a complete list, the same evening, instead of off whatever you remembered to type in by Wednesday.
